Learn how to write validation rules for Visio desktop

If you are a Microsoft Visio Professional or Online Plan 2 user or developer who wants to get to grips with both the basic features of Visio and the Validation Rules introduced in Visio 2010, then this book is for you. A working knowledge of Microsoft Visio, and optionally .NET for the add-in code, is required, though previous knowledge of business process diagramming is not necessary. More experienced Visio users will gain valuable knowledge for building add-ins and creating and publishing rules. If you want to achieve results from Visio desktop beyond the ordinary out-of-the-box features, then this book is ideal for you. Although this book covers the Professional and Online Plan 2 editions, much of the book is still useful if you are a Visio Standard edition user.

Microsoft Visio 2010 Business Process Diagramming and Validation book published

Phew … my new book is published, and I have a new Visio 2010 add-in, Rules Tools, to accompany it.

If you are a Microsoft Visio 2010 Premium Edition user or developer who wants to get to grips with both the basic features of Visio 2010 and the new Validation Rules in this edition, then this book is for you. A working knowledge of Microsoft Visio, and optionally .NET for the add-in code, is required, though previous knowledge of business process diagramming is not necessary. More experienced Visio users will gain valuable knowledge for building add-ins and creating and publishing rules. If you want to achieve results from Visio 2010 beyond the ordinary out-of-the-box features, then this book is ideal for you. Although this book covers the Premium Edition, much of the book is still useful if you are a Visio 2010 Standard Edition or Professional Edition user.

Rules Tools

The new Validation API enables businesses to write custom validation rules to suit their own purposes.
Microsoft Visio 2010 provides built-in rule sets for flowcharts, BPMN diagrams and SharePoint Designer Workflows. However, it does not provide a rule set developer interface for the analyzing, amending or creating rules. This Rules Tools add-in fills this gap by providing an extra group in the Process tab in Visio 2010 that allows users to analyze existing rules, display issues, and to export/import rule sets.

Writing rules to validate diagrams in Visio 2010 – A worked example

Microsoft Visio 2010 Premium Edition introduced an extension to the Visio Type Library called the Validation API. This provides the capability to validate a Visio diagram to ensure that its construction complies with industry-standard or company –wide rules.

Organizations are able to use this new feature to encapsulate business logic as validation rules, grouped within rule sets.

Microsoft Visio 2010 Premium edition contains rule sets for use with Basic and Cross-Functional Flowcharts, BPMN Diagrams and SharePoint Workflow Designer diagrams.

Visio in Microsoft 365? What’s that?

Now that a version of Visio is being rolled out as part of the commercial subscription of Microsoft 365, what is the difference between it and the Visio Web App that is delivered by Visio Plan 1 and Visio Plan 2 subscriptions?

Moreover, can a Visio diagram created by an M365 user be round-tripped with Visio Web App and Visio Desktop App users?

The current Visio editions

First of all, lets review the editions of Visio currently available:

  • Visio in Microsoft 365 – a web app that is included in M365 for business
  • Visio Web App – a web app that requires an extra Visio Plan 1 subscription
  • Visio Desktop App – a web-delivered Windows app that requires an extra Visio Plan 2 subscription (includes Visio Web App)
  • Visio Professional – a Windows app for a one-time purchase, previously installed via a msi package, now Click-to-Run and called LTSC
  • Visio Standard – a Windows app for a one-time purchase, previously installed vi a msi package, now Click-to-Run and called LTSC

So, is that clear? The good news is that all editions use the same file format, and can be viewed by anyone, with the relevant access permission, if the Visio document is stored in OneDrive or SharePoint Online/Teams. This Visio Viewer also provides visibility of the Shape Data, Hyperlinks and Comments. It also has a JavaScript API which makes it extremely useful for developing custom web pages in SharePoint Online/Teams.

Key differences between the Visio desktop and web apps

This is my last article in this series about customising Visio documents for the web app, and we have seen how we can create custom shapes using the desktop app, that enhance and improve productivity in the web app. I have also recorded a webinar that can be viewed at Providing Custom Templates for Visio web app. Although Microsoft have embarked on a partial convergence of the two apps, there are some features in the desktop app that are probably never going to be available in the web app, and there are some features that will become available over time, and others which will probably only ever exist in the web app. This article may seem a little negative about the content of the web app, but it is not meant to be. The web app is a fraction of the cost of the desktop app, and I would like to encourage the side-by-side use of the two apps, sharing the same files, without causing frustration brought about by ignoring the fact that they are not the same.

Drawing tools

Strange as it may seem, but the Visio web app does not yet have the ability to use the drawing tools that are available in the desktop app. However, if they are used in the desktop app, then the shapes are still available for some editing in the web app. Update Summer 2023 : The web edition does now have the drawing tools!

Creating Visio Tabs and Apps for Teams with SharePoint Framework (SPFx)

Overview

Microsoft Visio is one of the most popular and comprehensive applications available for visualizing information of many different types. A previous article ( bvisual.net/resources/using-visio-in-teams/ ) described the basic functionality of viewing and commenting in Visio documents within Microsoft Teams, but Visio diagrams can also be integrated into SharePoint web pages using the Visio JavaScript API. These web pages provide an interactive graphical interface that can be used to provide clarity and exposure to data that would otherwise be confusing or hidden. For example, the following video shows how standard operating procedures can be navigated, from page to page or from document to document, and hyperlinks followed to the relevant documentation for each step:
